Making the Most of Nonprofit Technology Programs from Microsoft and Google

Discounted and donated software can stretch your budget — if it is set up correctly. Here is what to know.

Major technology vendors offer programs for eligible nonprofits, including Microsoft 365 nonprofit plans and Google for Nonprofits. These programs can save thousands of dollars a year — but offers change, and setup matters.

Confirm eligibility first

Most programs require verification of your tax-exempt status and agreement to program terms. Vendors update their offerings periodically, so confirm the current plans and pricing before you migrate.

Do not skip security

Getting licenses is only the beginning. A default configuration often leaves security features turned off. After setup, make sure you have:

  • Multi-factor authentication enforced for all users
  • Shared mailboxes for roles instead of personal accounts that walk out the door
  • Permissions on shared drives that match your org chart
  • Backup for email and files beyond the vendor’s default retention

Plan the migration

Moving from personal Gmail accounts or an old server takes planning. We map your data, schedule the cutover for a quiet time, and train staff and volunteers so day one goes smoothly.
